HeatPumpIndex

Privacy Policy

Last updated:

This policy explains what personal information HeatPumpIndex handles, how we use it, and the choices you have. HeatPumpIndex covers the Greater Toronto Area and is operated from Ontario, Canada. We handle personal information in line with Canada's Personal Information Protection and Electronic Documents Act (PIPEDA). Effective date: September 7, 2026.

What information does HeatPumpIndex collect?

Almost none. HeatPumpIndex is a directory you read. There is one optional quote form, no contact form, no sign-up and no account, so there is nothing here for you to fill in and nothing for us to store. If you email us, we hold that email and whatever you chose to put in it. Our host, Vercel, also keeps standard server logs, including your IP address and browser type, to keep the site online and secure, and Google Analytics collects visit data in your browser, described in full below. Please do not send us sensitive information such as financial account numbers.

How does HeatPumpIndex use it?

We use your email only to answer you. We do not sell personal information, we share nothing with the businesses listed on this site except what you send through the quote form, and we do not use it for advertising. Server logs are used only for security, troubleshooting and preventing abuse.

Does HeatPumpIndex contact the businesses on your behalf?

No, and this is worth stating plainly, for contact you make directly. When you find a business here you contact it yourself, using the phone number if it has claimed its listing, or the website on its profile; the section below covers what happens if you use the request form instead. Anything you then tell a business directly is between you and them, under their own privacy practices. We are not part of that conversation and never see it.

Does HeatPumpIndex use cookies or analytics?

Yes, one. Since 19 August 2026 this site runs Google Analytics 4, which counts visits so we can see which pages people actually read. It sets two cookies in your browser, named _ga and _ga_RRQ93LVFEH, which last about 13 months. Google receives your IP address, the page you are on and basic details of your browser and device.

We use it to understand traffic in aggregate: how many people came, from where, to which page. We do not use it to identify you, we have not turned on Google Signals or advertising features, and we do not run advertising pixels or cross-site trackers. Nobody here can look up who you are. To opt out, install Google's opt-out browser add-on, block the domain google-analytics.com in your browser or an ad blocker, or use a private window and clear your cookies. The site works exactly the same either way.

One correction, stated plainly rather than quietly removed. Until 19 August 2026 this page said HeatPumpIndex ran no third-party analytics and set no cookies of its own, and promised that if analytics were ever added we would update this policy first. The tag went live before the policy was rewritten, so that promise was not kept. This section is the correction.

How does HeatPumpIndex handle business listing data?

Our directory lists businesses using public information: company names, addresses, phone numbers, ratings, review excerpts and photographs, taken from Google Maps listings and from each company's own website. The photographs are copied onto this site's own servers rather than loaded from Google. Most of this is business information rather than personal information, but not all of it. A review excerpt is shown with the reviewer's name as it appears publicly on Google, and for a one-person business the contact details can be personal as well as commercial.

If you own a listed business and want your listing corrected or removed, email evidence@heatpumpindex.ca with your business name and request. That includes any photograph you want taken down. If you wrote one of the reviews quoted here and want it off this site, email the same address and say which business it sits under. We process removal and correction requests, usually within 2 business days.

What are your privacy rights under PIPEDA?

Under PIPEDA you can ask what personal information HeatPumpIndex holds about you, request a copy, ask us to correct it, and withdraw your consent to our use of it. In practice, unless you have emailed us, we hold nothing about you beyond server logs. To exercise any of these rights, email us and we will respond within a reasonable time, generally 2 business days for a first reply.

How does HeatPumpIndex comply with CASL?

Canada's Anti-Spam Legislation (CASL) governs commercial email. HeatPumpIndex sends no marketing email, no newsletters and no promotional blasts. If you email us, we reply to you. If we ever introduce optional marketing email, it will be strictly opt-in with a clear unsubscribe link in every message, as CASL requires.

How does HeatPumpIndex store and retain data?

We keep email correspondence only as long as needed to handle it and any follow-up. We use reasonable technical and organizational safeguards to protect what we hold, though no method of transmission over the internet is perfectly secure.

Three companies handle this data, and all three are American, so it is stored and processed outside Canada, in the United States. This site is hosted by Vercel, which keeps the server logs. Email to the address on this page is delivered by Forward Email and forwarded into a Google mail account we read. Analytics data goes to Google. PIPEDA allows information to be handled outside Canada as long as you are told it happens, which is what this paragraph does; while it is there, it is also subject to the laws of that country.

How do I contact HeatPumpIndex about privacy?

For any privacy question or request, email evidence@heatpumpindex.ca. If we make material changes to this policy, we will post the updated version here with a new effective date. Please also review our terms of service, which govern your use of HeatPumpIndex.

What happens to what I send through the quote form?

If you fill in the quote form, we pass your name, contact details and your description of the job to one company listed in your area, so they can quote the work. One company, never a list, and never a pool of firms bidding against each other for you. The form will not send until you tick the box that says so, and that tick is recorded with the date and the exact sentence you agreed to. If you change your mind afterwards, write to us and we will delete what you sent.

Nothing else about you goes anywhere. Reading this site sends nobody anything.HeatPumpIndex sells no leads and no company can buy a better position: the order on every list comes from a published formula. When you call a company from a profile here, that call goes straight to the company, and we are not told it happened.
